How do I set up my employee email in Outlook 2016/2019?

Outlook 2016/2019 (Recommended Settings)

  1. Click File > Add Account
    add account
  2. Enter the following information and click Next:
    • Your Name: Your name
    • E-Mail Address:
    • Password: Your FSUID password
      enter your name, email and password
  3. If prompted to select between "Work or school account" or "Personal Account", select Work or school account
    select work or school account
  4. On the FSU sign in window, enter your email address and select Next

    On the next window, enter your FSUID password and select Sign In
    enter your FSUID password
  5. Complete the two-factor authentication (2FA) process
  6. You're all set! Your account will now configure. This may take several minutes.

Outlook 2016 (IMAP Settings)

Accessing your employee email with older clients (e.g., Outlook 2013) or apps that use the ActiveSync, IMAP, POP3, and SMTP mail protocols (e.g., Thunderbird) is highly discouraged. These mail protocols are less secure as connection methods and they also will not function with two-factor authentication (2FA). Furthermore, ITS has limited where you can use POP3, SMTP and IMAP to access your FSU employee email account.

To access your email account using IMAP, you must be connected to the FSU network by: A) being on campus and using either the FSU wired or wireless (FSUSecure) networks, or B) connecting to the FSU Virtual Private Network (VPN) service, using the "Connect to the FSU VPN off campus" instructions found on the following FAQ page: Why am I sometimes unable to access my employee email?

  1. Click on File then click on the Account Settings button then select Account Settings

  2. Under the Account Settings window click the New... button
    click the new button
  3. Select Manually configure server settings or additional server types and click Next
    select the manually configure option
  4. Click POP or IMAP, then enter the following information:click POP or IMAP and enter your information
    • Your name: Your name here
    • E-mail Address:
    • Account Type: Select IMAP from the drop down menu
    • Incoming mail server:
    • Outgoing mail server:
    • User name:
    • Password: Your FSUID password
  5. When you've finished, select More Settings in the bottom right hand corner.
  6. In the next window, click on the Advanced tab and fill out the information:click more settings and fill out the information
    • Incoming server(IMAP): 993 and select SSL from the drop down menu
    • Outgoing server(SMTP): 587 and select TLS from the drop down menu
  7. Click on the Outgoing Server tab. Select Use same settings as my incoming mail server, then click OK.
