Delegated Access

Students may provision access to view their myFSU Student Central categories of information. Delegated access allows students to customize what delegates can view and which transactions they can perform, and provides delegates secure access to to myFSU Student Central using their own unique sign in credentials and enhances communication between students, delegates, and the university regarding a student's information. 

To provision access to your myFSU Student Central data you must be a current or former student of Florida State University. You must accept the Terms and Conditions. 

Delegates - How do I accept Delegated Access?

Delegates contacting an FSU department to discuss a student's account or information must be able to provide the Delegated Access PIN (see the Additional Information section below) upon request.

Delegated Access PIN

During the process of granting Delegated Access, a student assigns the delegate a 4-digit PIN code. The student is responsible for remembering and communicating the 4-digit PIN code to the delegate. The PIN is used by FSU staff for identity verification in the event a delegate contacts the university regarding a student's information.

Staff Delegated Access

Current FSU faculty and staff without student, alumni, or former student affiliations are unable to delegate access to their information in the myFSU Student Central. However, FSU faculty and staff who need the ability to view/confirm that delegated access has been granted, prior to discussing a student's information, may do so following these instructions: How do I view a student's delegates?

 How do I assign Delegated Access?

1. Navigate to my.fsu.edu 
2. Sign in with your FSUID username and password
3. Select the SC icon under myFSU Links to access your FSU Student Homepage

4. On your FSU Student Homepage, select the My Info tile 

Note: If you are also an FSU faculty or staff member, you will land on the FSU Faculty/Staff Homepage by default. To switch to the student homepage, click on the homepage drop-down menu and select FSU Student Homepage.  

5. Go to the Share My Information section and select Delegate Access To A New Contact

6. Read the Share My Information - Terms and Conditions and select I accept to proceed

7. On the Share My Information - Details page, fill out the following:

  • Contact Name - Delegate's first and last name
  • Relationship - Relationship to the student
  • Contact Email Address - Delegate's email address 
  • Confirm Email Address - Re-enter delegates email address 


NOTE - The Contact Name should be a valid name. The name that you enter here is visible to the delegate and FSU staff. Delegates cannot share an email address. The Contact Email Address you provide must be unique for each delegate. For example, if you are giving both of your parents Delegated Access, you must provide a unique email address for each.

8. Select the transactions to which your delegate should have access

9. Create and confirm a 4-digit PIN for the delegate
NOTE – You are responsible for remembering and communicating this PIN to your delegate(s). This PIN will be used by FSU staff for identity verification if your delegate(s) contacts the University. 

10. Select Save. You will receive a confirmation email. Your delegate will receive an instructional email outlining the steps to proceed (see example below for what the delegate receives). 

NOTE - The instructional email will be sent to the delegate's email address that you entered on the Share My Information - Details page. If that email address is incorrect, you must edit the Contact Email Address for that delegate. To do this, navigate back to Share My Information and click Edit.

 How do I accept Delegated Access?

Delegated Access is a student-initiated process. After your student grants you access, you will receive an email notification providing the steps you should take to accept the Terms and Conditions.

IMPORTANT: Save or print the email received (example shown below in Fig.1). You must return to these instructions to obtain the Security Key and Email Address after the steps below. 

Option 1: If you do not yet have an FSUID, or if your current FSUID is an email address, you will need to create a new account. To do so, click on the link in Step 1 of the email and follow the steps outlined in Option 1 below. 

Option 2: If you already have an FSUID, and that ID is not an email address, you do not need to create an account. Skip to step 4 of the email and follow the steps outlined in Option 2 below.

Option 1

1. After clicking on Step 1, you will land on the FSUID Registration page. Visit How do I activate my FSUID?  for more information. 

2. After activating your FSUID, click the link in Step 4 of the email you received 

3.. You will land on the myFSU Sign in. Enter your FSUID and password and select Sign In 

4. You will be brought to the Delegate Terms and Conditions screen

5. Read the Terms and Conditions for accessing someone else's data

6. Select the I accept the terms and conditions check box if you agree

7. Refer to the original email you received—with the Subject containing Register your FSUID—and enter the Security Key and Email Address* listed under Step 7.
Note - This email address must match the email address entered by the student during the initial setup. 

8. Select Submit to complete the Delegated Access setup process.

9. You now have access to view your student's information. You will land on the Delegate Self Service page where you can select the specific category that you wish to view. 


NOTE: This image is for illustration purposes only, and may reflect categories to which your student has not given you access. Furthermore, some categories are calendar-driven. A link can be live but not display information. For example, at some points in the calendar year, a class schedule may not yet be available.

Option 2

  1. From the original Delegated Access registration email message—with the Subject “Register your FSUID” - click the link in step 4 
  2. Enter your FSUID and password and select Sign In 
  3. You will be brought to the Delegate Terms and Conditions screen
  4. Read the Terms and Conditions for accessing someone else's data
  5. Refer to the original email you received—with the Subject containing “Register your FSUID”—and enter the Security Key and Email Address* listed under Step 7.
    Note - This email address must match the email address entered by the student during the initial setup. 
  6. Select Submit to complete the Delegated Access setup process. 
  7. You now have access to view your student's information. You will land on the Delegate Self Service page where you can select the specific category that you wish to view.

 How do I access my student's records?

  1. Navigate to my.fsu.edu 
  2. Sign in with your FSUID and password 
  3. Select View Delegated Information located within the myFSU Links menu. You may also select the SC icon located directly under myFSU Links.
  4. You will land on your FSU Delegate Homepage. Select the My Student's Details tile.

    Note - If you wish to view or edit your personal information, access the My Details tile. 

  5. You will land on the Delegate Self Service page. From there, you can select the category of information that you wish to view.

Note: Two-Factor Authentication

  • When a delegate attempts to access a protected page, that delegate will be prompted to verify their identity through DUO Two-Factor Authentication in order to proceed. 
  • Users are only required to verify their identity through Duo once per sign-in session. If delegates have already verified through Duo elsewhere in the system, then they will not be prompted to do so here.

 How do I access multiple students' records?

1. Navigate to my.fsu.edu 
2. Sign in with your FSUID and password 
3. Select View Delegated Information located within the myFSU Links menu. You may also select the SC icon located directly under myFSU Links

4. From your FSU Delegate Homepage, click on the My Student's Details tile

Note - If you wish to view or edit your personal information, access the My Details tile

5. Select the magnifying glass next to the Student ID field to locate the student 
Note- If you have your student's EMPLID, you may directly enter it into the Student ID field and click Proceed 

6. Click Proceed. You will land on the Delegate Self Serivce page for your selected student where you can select the specific cateogry of information that you want to view. 

Note: Two-Factor Authentication

  • When a delegate attempts to access a protected page, that delegate will be prompted to verify their identity through DUO Two-Factor Authentication in order to proceed. 
  • Users are only required to verify their identity through Duo once per sign-in session. If delegates have already verified through Duo elsewhere in the system, then they will not be prompted to do so here.

 How do I view a student's delegates?

FSU staff are required to verify 1) that Delegated Access has been granted and 2) the identitiy of the delegate via the 4-digit PIN. To view a student's delegates, you need the FSU_DA_ADMIN_DISPLAYONLY role. Refer to the Requesting Roles topic for instructions on how to request a role.

 

Once the above role has been granted, you can follow the navigation below to access the FSU Share My Information - Administration page:

Navigation: Sign into my.fsu.edu > select Student Central (the SC icon) > on the FSU Faculty/Staff Homepage select the Campus Community tile > select the Student Information folder > select Share My Information (Admin)

1. On the Share My Information (Admin) page, you can search by student or by delegate. If the EMPLID is known, enter the value in the respective field. If the EMPLID is not known, use the search tool to locate the student or delegate. 

Note - If you use the Search by Delegate ID function, then you must also select the relevant student for the delegate. After the delegate ID has been entered, a search tool for the student will be visible. Click on the search tool to select the student from the generated list. Only the students to which the delegate currently has access will appear in the list. 

2. Click Proceed. The Share My Information - Summary page appears

3. If the delegate needs the notification email re-sent, click the Send Email Notification button. The email will be sent to the address listed in the Contact Email Address field. 
Note- The email that is re-sent depends on whether or not the delegate has accepted the Terms and Conditions. If the Contact Status listed for the delegate says Accepted, then the delegate has successfully accepted the Terms and Conditions. In this case, the email that is sent notifies the delegate of the transactions to which they currently have access. If the Contact Status says Unknown, then the delegate has not yet accepted the Terms and Conditions. In this case, the email that is sent is the email outlining the steps for creating a myFSU account and accepting Terms and Conditions.

4. One or more delegates may appear. Click the Select button adjacent to the name of the delegate who's making the inquiry.

The Share My Information - Details page appears.

5. On the Details page, verify the delegate's 4 Digit PIN. If you need to select another delegate, click the Return to Share My Information Summary link.
